Email templates

Email templates let you control the content of emails sent to customers for invoices and credit notes. They help you communicate in your brand's tone and voice, while supporting multiple languages and personalised content using dynamic variables.

Why use email templates

  • Consistency: Keep the same style and tone across all customer communication.
  • Personalisation: Automatically insert customer-specific details like name, invoice number, or due date.
  • Multilingual support: Create localised versions so customers receive messages in their preferred language.

Key concepts

  • Template types: Available for invoices and credit notes.
  • Variables: Placeholders you can add in the subject or body to dynamically insert information (e.g. customer name, invoice number, amount, due date).
  • Languages: You can create a localised version of each template to communicate in all the languages you need.

Creating a template

To set up email templates, please contact your Proper representative and provide the following details:

  • Template type: Specify whether it’s for an invoice or a credit note email.
  • Language: Indicate which language(s) you want to support.
  • Content: Provide the subject line and body text. You can include placeholders (variables) like {invoice.number}, {customer.name}, or {due.date} for personalisation.
