Modifying and cancelling subscriptions

A subscription may change over time, for instance the price or quantity of a product. To update you can simply specify the desired changes and set an effective date. We will then automatically make the changes and modify the billing respectively.

When you need to modify or cancel a billed subscription, Proper gives you several options of handling the invoice.

  • Credit note entire invoice: Refunds the total amount of the invoice.
  • Credit/charge custom amount: Refund only a partial amount of the invoice. Choose between a custom amount or quantity-based credit.
  • Pro rata: Refunds a pro-rata amount based on used period. If applicable, an additional charge for the remaining period is added as a new line item on the next invoice. You can select to prorate based on the period start, the effective date of the change, or another specific date.
  • No refund: Cancel the subscription without issuing a refund to your customer.

How changes to subscriptions work

Immediate vs scheduled changes

  • Immediate changes: Take effect right away and are either prorated or applied to the next billing cycle
  • Scheduled changes: Take effect on a specific future date

Effects of changes

Price changes

  • Price increase: Customer pays the old price until the effective date, then the new price
  • Price decrease: Customer gets the new lower price from the effective date
  • Example: Monthly subscription changes from €100 to €120 on March 1st. February bill is €100, March bill is €120

If the change is mid-period, Proper will automatically prorate the change.

Quantity changes

  • Quantity increase: Customer gets charged for more units from the effective date
  • Quantity decrease: Customer gets charged for fewer units from the effective date
  • Example: 5-user subscription changes to 10 users on June 1st. May bill is for 5 users, June bill is for 10 users

How to update a subscription

Open the subscription

Navigate to the subscription you want to modify.

Edit subscription

Click "Edit subscription" to change the current settings.

Make changes

Update any of the following:

  • Product
  • End date
  • Payment terms
  • Pricing (unit price, quantity, tiered pricing)
  • Tax rate
  • Custom description

Decide when the change takes effect

By default, changes are applied from the start of the current billing period. You can also choose one of the following options:

  • From now: Price changes are prorated from today.
  • From next period: Changes take effect on the next invoice.
  • Schedule for a future date: Set a specific date for the change to be applied

Prorate now

Save changes

Click "Save changes".

How to schedule a change

Instead of immediate changes, you can schedule changes to take effect at a future date. The process is similar to updating a subscription.

Open the subscription

Navigate to the subscription you want to modify.

Configure the change

Adjust the pricing according to your desired change.

Set a date for the change

After making a change, a time selector will appear at the bottom. Choose schedule for later and select when the change should take effect. You can apply it starting from the next billing cycle or set a custom date in the future.

Schedule change

Review and confirm

Review the scheduled change and click "Save changes".

Managing scheduled changes

  • View all scheduled changes in the subscription timeline
  • Cancel scheduled changes before they take effect

Ending a subscription

If a subscription needs to be stopped, you can end the subscription:

  • immediately
  • at renewal
  • at any specified date
